When someone nearby searches for "dentist near me", "interior designer in Pune" or "best biryani in Hyderabad", the first thing they usually see is not a list of websites. It is a map with a few businesses pinned on it, each with a rating, a phone number and a button for directions.
Those listings come from Google Business Profile. For any business that serves customers in a particular city or area, it is one of the most valuable free marketing tools available — and one of the most often overlooked.
This guide walks you through setting it up properly, keeping it active, and turning it into a steady source of calls and visits.
What Google Business Profile is, and why it matters
Google Business Profile is the free listing that appears on Google Search and Google Maps when people look for your business, or for businesses like yours nearby. It shows your name, location, hours, phone number, photos, reviews and a link to your website.
It matters for three simple reasons:
- It appears before websites. For local searches, the map listings usually sit above the regular search results, which means many customers decide before they ever reach a website.
- It drives direct action. Customers can call you, message you, get directions or visit your website in one tap.
- It builds trust quickly. A complete profile with recent photos and genuine reviews tells customers that you are real, active and well regarded.
Step 1: Claim and verify your profile
Start by searching for your business name on Google Maps. Your business may already have a listing, created automatically or by a customer. If it does, select "Claim this business". If it does not, go to the Google Business Profile website and create a new one.
Google will then ask you to verify that you own the business. Depending on your category and location, this may be done by video, phone, email or a postcard sent to your address. Video verification is common, so it helps to have a few things ready to show on camera: your signage, the inside of your premises, and something that proves ownership, such as a business registration document or a utility bill in the business name.
Until your profile is verified, many of its features will not be fully visible, so it is worth completing this step first.
Step 2: Complete every section
An incomplete profile is one of the most common reasons local businesses do not appear in the map results. Google favours profiles that give customers the information they need. Go through each section and fill it in carefully:
- Business name. Use your real business name exactly as it appears on your signage. Adding keywords or city names to it can lead to your listing being suspended.
- Primary category. This is one of the most important choices you will make. Choose the category that describes your core business as precisely as possible — "Pediatric Dentist" rather than simply "Dentist", if that is what you are.
- Additional categories. Add a few secondary categories for other services you genuinely offer.
- Address or service area. If customers visit you, show your address. If you travel to customers, set a service area instead.
- Phone number. Use a number that is answered during business hours.
- Website. Link to your home page, or to a specific location page if you have more than one branch.
- Hours. Keep these accurate, and use special hours for public holidays and festivals such as Diwali, Eid or Christmas, so customers do not arrive to find you closed.
- Services and products. List what you offer, with short descriptions and prices where it makes sense.
- Business description. Explain clearly what you do, who you serve and what makes you different. Write naturally for customers rather than for search engines.
- Attributes. Tick any that apply, such as wheelchair access, online appointments or accepted payment methods like UPI.
Step 3: Add good photos, and keep adding them
Photos help customers picture what it is like to visit or work with you. Profiles with plenty of recent photos tend to feel more trustworthy than those with one old logo.
Aim to include:
- your storefront or entrance, so people recognise it when they arrive;
- the inside of your premises;
- your team at work;
- your products, or examples of completed work;
- your logo and a cover photo.
Use real photos taken in good light rather than stock images. Adding new photos regularly also signals that your business is active.
Step 4: Build a steady flow of genuine reviews
Reviews are among the strongest factors in how local customers choose between businesses. Both the number of reviews and how recent they are make a difference.
How to ask for reviews
- Ask at the right moment. The best time is right after a customer has told you they are happy.
- Make it easy. In your Business Profile dashboard you can get a short review link. Share it on WhatsApp, in your email signature, or as a QR code at your counter.
- Keep it simple. A short message works well: "Thank you for visiting us. If you have a minute, a review on Google would really help us."
Avoid offering discounts or gifts in exchange for reviews, and never post reviews on your own behalf. Both go against Google's policies and can lead to reviews being removed or your profile being restricted.
How to reply to reviews
Reply to every review, positive or negative. For positive reviews, a short, personal thank-you is enough. For negative ones, stay calm and polite, acknowledge the issue, and offer to resolve it privately. Future customers read these replies, and a thoughtful response to criticism often builds more trust than a page of five-star ratings.
Step 5: Post updates regularly
Google Business Profile lets you publish short posts — offers, events, new services or news. These appear on your profile and show customers that you are active.
You do not need to post every day. A steady rhythm you can keep up is more valuable than a burst of activity followed by silence. Good ideas include seasonal offers, new products, answers to common customer questions, and short updates about your work.
Step 6: Keep your details consistent everywhere
Google looks at other websites to confirm that your business information is accurate. If your name, address and phone number appear differently on different sites, it can reduce Google's confidence in your listing.
Check how your business appears on:
- your own website, including the footer and contact page;
- Indian directories such as Justdial, IndiaMART and Sulekha, where relevant to your business;
- your social media profiles;
- industry-specific platforms relevant to your category.
Make sure the details match exactly — including how you write your address.
Common mistakes to avoid
- Adding keywords to your business name. "Sharma Dental Clinic — Best Dentist in Pune" may look helpful, but it can get your listing suspended.
- Choosing a vague primary category. The more precise your category, the better Google can match you to the right searches.
- Forgetting holiday hours. A customer who arrives at a closed shop after checking your profile is unlikely to return.
- Ignoring reviews. Unanswered reviews, especially negative ones, can make a business look inactive.
- Creating duplicate listings. One location should have one profile. Duplicates can split your reviews and confuse Google.
